Commitment to privacy

Copelin Civil is committed to providing quality services to you and this policy outlines our ongoing obligations to you in respect of how we manage your personal information.

We have adopted the Australian Privacy Principals (APPs) contained in the Privacy Act 1988 (Cth). The APPs govern the way in which we manage your personal information. Our privacy policy applies to any personal information we collect, use or disclose, including the personal information of our employees and contractors. Interpretation of words used in this privacy policy have the same meaning as those in the Privacy Act 1988 (Cth).

Type of personal information collected and stored

Copelin Civil may collect and store personal information or sensitive information from our clients, employees, vendors and job applicants. The types of personal information we may collect includes but is not limited to:

contact information (such as your name, date of birth, address, email address, telephone number, fax number, emergency contact information);
details and copies of your identity documentation, such as licences (including Driver and industry licencing);
banking details; and
educational and training certificates and information contained in a CV.

The APPs impose greater obligations regarding collection, use or disclosure we make of your sensitive information. If for some reason we do need to collect your sensitive information, we will only collect it if:

you have expressly consented to us doing so;
we are required to do so by law; and
the collection is necessary to establish, exercise or defend a legal claim.

How we collect personal information and security of your personal information

Copelin Civil may request information from you in order to undertake our services and responsibilities to you and our clients. We will take reasonable steps to ensure personal information we hold is stored in a manner that protects it from misuse and/or loss, and to protect it from unauthorised access, modification and/or disclosure.

When your personal information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy your personal information. Most of the personal information we collect will be securely stored for a minimum of 7 years.

Why we collect and use personal information

Copelin Civil must only use or disclose your personal information to the extent necessary to perform Copelin Civils’ functions or exercise its rights and to the extent necessary to comply with laws. It may be used for the following purposes:

to manage our services and facilitate contact with clients, contractors, vendors and individuals associated with providing services or business dealings with Copelin Civil;
to meet legal employer obligations including but not limited to: payroll, making superannuation contributions and maintaining records;
to market our services or those of our clients;
to ensure our contractors and employees have the necessary qualifications, skills or experience to undertake services for Copelin Civil and our customers;
to consider employment applications;
to obtain feedback about our services, employees, contractors or suppliers for, or on behalf of Copelin Civil;
in an emergency; and
to comply with any legal obligations.

How we use and disclose personal information

We have a duty to maintain confidentiality of our clients’ affairs, including personal information. Our duty of confidentiality to our clients applies, except where disclosure of personal information is consented to by the client or is compelled by law. We never sell your personal information.

We do not use or disclose personal information with third parties except as is necessary to provide our services, as required by law, other legal processes or as set out below:

Copelin Civil’s contractors, outsourced service providers, our related entities or subsidiaries who manage the services we provide to you;
Copelin Civil’s professional advisors, such as our auditors, accountants or lawyers;
Copelin Civil’s clients with whom you have requested services or information; and
government, regulatory authorities, law enforcement agencies, emergency service agencies and other authorities where we are required by law; and
third party vendors such as Google Analytics to allow tracking technologies through the use of first-party and third-party cookies for the purpose of gaining website analytics information. By accessing the Copelin Civil website, you consent to the collection and use of your information by these third-party vendors.
